Troubleshooting Tips

Excel Import

Should you encounter difficulties when importing data from Excel, please verify the following critical points:

  1. Ensure you are utilizing the template file corresponding to the correct year.
  2. Always download the most recent version of the template.
  3. Verify that the data format in each column is accurate. For True/False fields, select the appropriate value from the dropdown menu. For Address State and Country, please select the correct code or name from the respective dropdown lists.
  4. Scrutinize the column data. Copying and pasting content from external spreadsheets may inadvertently corrupt the data.
  5. Confirm that a valid value has been selected for all required dropdown menus.

QB Import

  1. Check for the 1099Vendor flag in QBO.
  2. Refresh Data if you have made some changes.

Xero Import

  1. Make sure the report is there. Login into xero and see if you can see the report.
  2. Make sure you have advisiroy role
  3. Make sure the Xero company is same as the one that is connected to 1099SmartFile
  4. Refresh the data.

Before filing

Which 1099 forms do you support?
Currently, we support 1099-MISC, 1099-NEC, and 1099-INT. We will be supporting additional forms in the future. If you have additional types of forms to file this year, please contact us and we may be able to help you.

What are the deadlines to file 1099 forms?
Most of the forms are due on Jan 31st, but there are a few exceptions based on the data being reported in a form. Please check out our form specific pages for the important filing deadlines for this year.

Do you also file 1096 or do we need to file 1096 form on our own?
When you eFile 1099 forms, there is no need to file a separate 1096 form, as such, we do not file a 1096 form with the IRS and you are not required to file one either. However, if you are filing some of your 1099 forms by paper, you do need to file a 1096 with those paper forms.

What if I have a lot of forms to file?
You can upload all of them using our Excel Template and save a lot of time.

Do you have integration with other applications like QuickBooks and Xero?
Yes, we do, and you can import your data directly from QuickBooks or Xero.

Can I send copies to my payees/recipients/contractors using your service?
Yes, when you choose our Print & Mail option while e-Filing, your payees will receive a printed copy of the form via first-class mail.

How secure is your website?
Security is paramount when dealing with social security numbers and personal financial data. Our website is designed to protect your data against unauthorized access. All our services are hosted in a SOC-2 compliant data center and information is encrypted before it is saved into our systems.

Are you an IRS approved eFile provider?
Yes, we are an IRS approved eFile provider.

Can I have my filings reviewed by my accountant or by my client?
You can add additional users to the account so that they can access and review your filings. Users can also export all draft filings to a CSV for audits and analysis.
Data Security Note: SSN Export Policy—The CSV only includes the last four digits for TINs. Full TIN export requires a formal deviation request to support@1099smartfile.com and secure verification.

Do you file the 1099 forms with states?
We do support the IRS's Combined Federal/State Filing (CF/SF) program, through which the IRS transmits the filings to the participating states. Generally, this program meets the requirements of most states, but please verify directly with the Department of Revenue for the state in question as every state's requirements are different.

Does 1099SmartFile offer consultation on state filing requirements?
While we facilitate filing in the majority of states, we do not furnish advisory services regarding which state to report to or the appropriate reporting deadlines. State filing obligations are jurisdiction-specific and can be determined by the payer's domicile, the payee's domicile, or the location of services and the payment amount. Please consult our state filing requirements page and associated resources for directional guidance only; these should not be interpreted as specific tax advice.

What is the Combined Federal/State Filing (CF/SF) program?
The Combined Federal/State Filing (CF/SF) program was set up by the IRS to simplify 1099 form filing. Through this program, both the original and corrected 1099 filings you submit to the IRS can be sent to the participating states electronically.

What forms are supported through the CF/SF program?
All the forms that we support (1099-MISC, 1099-NEC and 1099-INT) are supported by the CF/SF program. If you have additional types of forms to file, please contact us.

Which states participate in the CF/SF program?
For the year 2026 (for tax filing year 2025), there are certain states part of the CF/SF program. Please check out the state filing page for up to date information about what states support CF/SF and what states require to directly report with the states.

Is there a separate charge for filing with states?
There is no separate charge for filing with the states through the Combined Federal/State Filing (CF/SF) program. When you create your filings, you just have to indicate that you want to report to states and we will take care of filing with the states through the CF/SF program.

Login & Accounts

Can I file multiple 1099s with the same account?
Yes, you can set up multiple Payees under the same account. When creating a filing, simply select the Payee. However, if you have multiple business entities, you need to create additional accounts (you can use the same login), to track the 1099 forms for your other business.

Can the accountants file for different clients?
As an accountant, you can set up multiple clients under one accountant account. After signing up with an accountant account, simply go to the clients tab from left navigation and click the 'Add Client' button.

Do you store my data in the account after submitting the filings?
Your data is retained according to data governance rules of the state. We will retain this information for up to 3 years. You can log in any time to view your past filings.

I need a password reset, but the email isn't arriving. How can I reset the password to my account?
If you have an existing account associated with the email address provided, an email should be delivered to that address. Kindly check your SPAM folder and review any email filtering rules you may have configured.

Furthermore, if your account registration was completed using Xero Single Sign-On or Intuit Single Sign-On, you must utilize the corresponding single sign-on methods available on our login page to gain access to your account.

An employee signed up for the account but is no longer employed with us. How can I get access to my account?
If other users are present on the account, they possess the ability to add you as a user.
Alternatively, if you have access to your former employee's email account, you may reset the password and regain access to the account.
Should neither of the preceding options be feasible, you will be required to contact us with documentation proving business ownership, and our support staff will then grant you ownership of the account.

Excel import

Do you support importing from Excel?
Yes. Once you sign up, click on the 'Import Data' button and follow instructions.

How many filings and payees can I import?
There is no limit on how many payees and filings you can import in total. However, we only support importing 1000 filings at a time.

Can I re-import the data, if there are any errors in the imported data?
Yes, you can correct the data in the Excel document and re-import the data. When re-importing the data, we detect duplicates and give you a choice to overwrite the payee and filing information if needed.

QuickBooks Online integration

Is this integration approved by QuickBooks Online?
We are a member of the Intuit developer network, and the QuickBooks Online team has reviewed the integration before listing it on the QuickBooks app store.

I am an accountant. Can I connect all my clients using my accountant account?
Yes. When you set up QuickBooks integration, for each client in 1099SmartFile, you can pick the corresponding QuickBooks account to import data from. You can do all this with your accountant account credentials.

What information do you download from QuickBooks?
We import all the Vendors as Payees into our system. We also download Chart of Accounts and transactions, so that you can categorize various chart of accounts to 1099 box fields to automatically calculate the box amounts.

Can I copy my account mapping details from one client account to the other?
Not at this time. But if you are a large firm and have a lot of clients, please contact us.

Xero integration

How does Xero integration work?
For Xero integration, once you authorize the connection, you need to prepare your 1099 report in Xero. Go to Accounting->Reports and locate the 1099 Report in 'Taxes and balances' section. Prepare your 1099 report by setting your mapping rules. Once you are satisfied with the report, import this report from the integrations page of 1099SmartFile and we will automatically create payees and filings based on the data in the report.

Is your app available in the Xero app store?
Yes, our app is approved and is listed in the Xero App store.

Pricing & Payments

How much does 1099 e-Filing cost?

How does free filings work?
We run various promotions, and some of them may include a certain amount of free filings. We automatically calculate the cost based on the promotion active at that time when you file.

Which payment methods do you support?
We allow all major credits.We allow all major credits. We also support PayPal.

Do you store my credit card information on your site?
No, we do not store your payment information. We are partnering with industry-leading payment processor, Square, to collect the payments. Your payment information never touches our systems.

What is your refund policy on unused prepaid funds?
If your account holds unused prepaid funds (service credits), you have the right to request a refund. To initiate a refund, please send an email request to support@1099smartfile.com. We process all refund requests quickly; however, please note that the final refund amount will have a deduction to cover the non-recoverable payment processing fees that were originally incurred when you purchased the credits.

Can I see how much I spent on each client's filings?
Yes, for accounts designated as 'Accountant,' the client name is included in the Billing Summary report.

  1. Go to Reports.
  2. Select Billing Summary.

This report will list each transaction and the corresponding client name, allowing you to track the amount spent on each client for invoicing purposes. You can also export the report as a CSV file.

Where can I get a receipt for my payment?
You can easily access and download receipts for all your completed transactions within the application.

  3. Click on the payment amount link to view the receipt for the payment.

TIN Verification

What is TIN Verification?
As a payer, it is your responsibility to file 1099s for the payments made to independent contractors with the correct payee information. You can optionally verify the TIN and name provided by your payees against the IRS database to avoid costly corrections and backup withholding. If TIN verification is successful, we process the filings. If it fails, we send the filings back to you to fix the payee information and re-submit. Please note that during the last 2 days of Jan, we submit the filings regardless of TIN verification status to avoid delays.

TIN verification failed for one of my payees. What should I do?
Oftentimes, failures happen because people use their DBA (Doing Business As) name as their legal name, use their individual name instead of a legal entity name, or enter the wrong TIN type (SSN instead of EIN or vice versa). Please contact your payee and get the correct information. You can also request a W-9 form from your payee using our program (charges apply). Once you have corrected the information, you can resubmit, optionally choosing to re-verify the TIN (charges apply). If you are certain that you have the correct payee information, you can ignore the TIN verification failure by clicking the "Ignore" link and re-submit the filing without selecting TIN verification.

My payee insists they gave us the right information. What should I do?
Double check you have entered the information correctly in our system. If you are certain that you have the correct payee information, you can ignore the TIN verification failure by clicking the 'Ignore' link and re-submit the filing, ensuring you do not select TIN verification when re-submitting the filing.

Do you charge for re-verification of TIN?
We charge $1.00 for each TIN verification, including re-verifications. We have a very competitive pricing for TIN verification. For Small Businesses and individuals, TIN verifications beyond 100 are free, and for accountants, TIN verifications beyond 1000 are free.

After filing

How long does it take to get the status from the IRS after I file?
We typically transmit the filings within 24 hours of your submission. The IRS takes another day or two before accepting or rejecting your filings. We send you an email notification once the IRS accepts or rejects your filings.

Where can I download the 1096 form?
When you eFile 1099 forms, there is no need to file a 1096 form. However, if you need the 1096 form for audit purposes or just to have a summary of all of your filings, you can download it from 'Reports'->'1099 Filing Summary' report.

How do I send the physical copies of the forms to the recipients?
If you choose our 'Print and Mail' option while submitting the filings, we take care of printing and mailing a physical copy of the 1099 form to your payees. However, if you just want us to eFile, you can still download PDF copies from your account and mail them yourself.

If I choose the 'eFile, Print & Mail' option when submitting, when will the recipients receive the forms?
We print and mail the forms as soon as the IRS accepts the filings. USPS typically takes 5 to 7 business days to deliver.

Do you support corrections?
Yes, we do. If you made a mistake and the IRS has accepted the filing, you need to file a correction to fix the data. We support both Type 1 and Type 2 corrections. Please check out our 'Resources->Guides' section to learn more. However, if the IRS rejects a filing because of bad data, you can always fix the data and re-submit the filing without being charged again for the re-submission.
