Xero:

Using 1099SmartFile with Xero is quite easy and simple. You can prepare your 1099 report in Xero and authorize 1099SmartFile to pull the report into our systems.

  1. Go to the 'Integrations' from left navigation and click on the 'Xero' logo to begin the setup process for integrating with Xero.
  2. Please use your Xero credentials of the Xero organization you want to import the data from. If you have multiple organizations, you will be able to select the one you want to import from.
  3. If you have multiple Xero organizations, please select the organization you want to connect to. Click on 'Allow Access' to connect your account to Xero and you will be redirected back to 1099SmartFile
  4. If the connection process is successful, you should see the connected Xero organization details. Click 'Next' to import the data
  5. We will pull the 1099 report from Xero. If you haven't prepared your 1099 report in Xero, please log into your Xero account and prepare the the 1099 report before attempting the import again. Note that, you need to have Advisor role or Standard + Reports role to be able to prepare a 1099 report in Xero. Please review the data to be imported. If anything is wrong, fix the 1099 report in Xero and import the data again. You will be able to make changes to the imported data in our systems, but please note that, the data updated in 1099SmartFile will not be synced back to Xero account. Click 'Next' to import the data into 1099SmartFile.
  6. Now, you are ready to submit the filings you have imported. You can always make edits, add more payees and filings, before submitting.

QuickBooks:

Integrating QBO with 1099SmartFile automates vendor transaction analysis and categorization for faster, more accurate 1099-MISC and 1099-NEC preparation.

Phase 1: Initiating the Connection

  • Step 1: Access the Integrations Section
  • Navigate to the 'Integrations' section on the left navigation panel of your 1099SmartFile dashboard.
  • Click the QuickBooks logo to establish a secure connection. This action will open a standard OAuth popup window containing the official QuickBooks login URL. This process guarantees the security of your QuickBooks credentials, as we do not have access to them. By completing this authorization flow, you grant QuickBooks permission to securely share your data with us.
  • Step 2: Log In to QuickBooks Online
  • Log in using the credentials for the specific QBO account you wish to import data from.
  • For Accountants: Log in with your accountant credentials; you will select the client later.
  • Step 3: Selecting the Target QuickBooks Account
  • Direct Users: Select the single QBO account for 1099 preparation.
  • Accountants (Firm Level): Check the 'Install for your firm' box to connect your accountant account to 1099SmartFile account to manage your firm’s filings.
  • Accountants (Client Level): Leave the firm box unchecked and select the specific client's entity.
  • Confirm the connection to be redirected back to 1099SmartFile.

Phase 2: Mapping Accounts and Categorizing Transactions

  • Step 4: Confirming a Successful Connection
  • Verify the successful connection details in 1099SmartFile.
  • Click 'Next' to proceed to categorization.
  • Step 5: The Account Mapping Process (Crucial for Automation)
  • Instruct 1099SmartFile how to interpret your QuickBooks Chart of Accounts for 1099 purposes.
  • For each 1099 box (e.g., Box 1 - Nonemployee Compensation), click the 'Pencil' icon to select the corresponding QBO general ledger account(s) (e.g., "Contract Labor").
  • Benefit: This enables 1099SmartFile to automatically pull relevant transactions and calculate box amounts.
  • Alternative: You can skip this step, but this will require manual entry of all box amounts later.
  • Click 'Next' to initiate the data import.

Phase 3: Data Import and Review

  • Step 6: Importing Vendor Data and Filings
  • 1099SmartFile extracts:
    • All relevant Vendors.
    • Associated vendor expense transactions.
  • Preliminary payees and 1099-MISC/1099-NEC filings are automatically created (only if Step 5 mapping was completed).
  • Data Review: Carefully examine the data presented on the review screen.
  • Corrections: Any discrepancies must be corrected in your QuickBooks Online account, followed by a re-import.
  • Limitation: Changes made within 1099SmartFile will not be synchronized back to your QuickBooks Online account.
  • Click 'Next' to finalize the import of all payee and filing data.

Phase 4: Finalizing and Submitting Filings

  • Step 7: Preparing for Submission
  • The imported data is now in 1099SmartFile.
  • You have full flexibility to make edits, add new payees, or create additional filings within 1099SmartFile before final submission to the IRS/state authorities.

FreshBooks:

You can link your FreshBooks business to 1099SmartFile account. We will analyze and categorize the transactions from FreshBooks and map them to various boxes for 1099-MISC and 1099-NEC forms, based on the account mappings you provide. Please follow the instructions below to prepare and file your 1099 forms.

  1. Go to the 'Integrations' from left navigation and click on the 'FreshBooks' logo to begin the setup process for integrating with FreshBooks.
  2. You will be redirected to FreshBooks login page. Please login with your FreshBooks credentials. Note that you may not be promoted to login if you are already logged in. If you are in the wrong FreshBooks account, logout of your FreshBooks account and re-initiate the process.
  3. Review the permissions we are requesting and authorize 1099SmartFile to access your FreshBooks data.
  4. If the connection process is successful, you should see the connected FreshBooks business details. Click 'Import Data' to import the data from FreshBooks.
  5. On the Account Mapping page, tell us which chart of accounts map to which 1099 box amounts, by clicking the box name. We will pull all your transactions from FreshBooks and calculate the box amounts, saving you tons of time. If you don't want to categorize the transactions, you can skip this step and can manually enter the box amounts later. Click 'Next'' to review the data.
  6. We will pull all your vendors and vendor expense transactions and create the payees and 1099-MISC and 1099-NEC filings. (Filings will be created only if you have categorized the transactions in the previous step). Please review the data to be imported. If anything is wrong, fix the data in FreshBooks and refresh the data from FreshBooks. You will be able to make changes to the imported data in our systems, but please note that the data updated in 1099SmartFile will not be synced back to FreshBooks. Click 'Next' to import the data into 1099SmartFile.
  7. Now, you are ready to submit the filings you have imported. Go to the 'Filings' tab to find the filings we imported. You can always make edits, add more payees and filings, before submitting.
